This document provides shortcut instructions on how to manage the Atlas Data Collection. It is a shortcut for quickly adding and managing assets and files within the Atlas Data Collection. It does not explain the organization or operation of the system. It simply provides a quick shortcut to adding and managing data in the Atlas Data Collection.

Administrators use the Atlas Portal to manage the Atlas Data Collection. Please refer to the Atlas Portal Manual for more instruction.

Finding Data

To modify data in the Atlas Collection you of course have to be able to find it. The Atlas Portal provides a few different methods of finding assets in the Atlas Collection.

  • You can use the File Explorer to locate files in the Portal. You can move the files in the File Explorer or follow their link to the AssetPage for editing the files metadata.
  • You can use the Sheet Page to look at lists of records and use the search boxes at the top to search for your item.
  • You can use the AssetPage Select Asset dropdown to search for an individual asset by name.
  • The sheet page search bar will be added to the Assetpage.

Typically you would use the Sheet page to search for a record to edit it's meta data and you would use the File Explorer to find an asset you want to move.

Adding Data

Adding Data to the Atlas Data Collection

You use the Atlas Portal to add data into the Atlas Data Collection. Their are two ways to add data into the Atlas Data Collection:

  • You can upload a new file into the system and create a new artifact from the uploaded file. This is the normal way to add a photo, oral interview, birdseye image, newspaper clipping or any basic document you would like to add into the Atlas Collection.
  • You can create a new *Asset in the Atlas Collection directly within the Atlas Portal. This is the normal way to add more complex data collections. You do this to add a new Dam, Town, or Locale into the Atlas Collection.

Add a File

In order to add a file into the collection to be used as an artifact and shown on the Web Site and Map you do the following:

  • Go to the File Explore page on the portal.
  • Navigate to the folder you want to upload the file into.
  • Use the Choose file buttons to select the files you want to upload.
  • Click Upload All to begin the upload process.
  • After the upload is complete you will see the link for the uploaded Record.
  • Click on that link to go to the Asset Page.
  • Set the document type for the uploaded file
  • Edit the tags to the values that you want for the file.
  • Save the asset.

Add an Asset

In order to create a fresh asset in the collection you do the following:

  • Got to the Asset Page in the Portal.
  • Click the Add Button and wait. This will create a new asset record.
  • Set the record to the document type that you want. Typical locale, dams, or towns.
  • Adjust the tag values to the values you want.
  • Attach any needed files to the Asset using the Attached Files Panel.
  • Save the asset.

Removing data

Removing data from the Atlas Data Collection

  • At this time their is no mechanism for truly removing data from the Atlas Collection. This is a safety precaution.
  • You mark assets as deleted by simply changing their document type to deleted.
  • Changing the document type of an asset does not alter any of it's saved metadata.
  • You can also change an asset's document type to file if you don't want it to be available on the Atlas Site or Atlas Map.
  • Assets marked as file can be attached to other assets in the Portal.
  • Assets marked as deleted can not be attached to other assets in the portal.

If you want to remove an asset from the collection the appropriate thing to do is to simply mark it as deleted by changing it's document type through the portal.

Modifying data

Modify Data in the Atlas Data Collection

In order to modify data in the Atlas Collection you use the Atlas Portal. The portal allows you to upload files, rearrange them, and edit the associated tags for any asset within the system.

If you want to rearrange files you use the File Explorer page on the portal. If you want to modify the metadata associated with an Atlas Collection asset you use the AssetPage in the portal.

To understand the structure of the Atlas Data Collection you should know it's organizational schema and the file types that are supported by the system. You can look this information up in these manuals
