How to Set Up Your Organisation's Account - younginnovations/aidstream-tz GitHub Wiki

To start publishing your project data to the IATI registry, you need to add details to your new AidStream Tanzania account. To do so, open the Settings page; you can access this page by clicking on Settings in the sidebar menu located along the left hand side of the screen.

Please note: You will not be able to start publishing your projects through AidStream until you enter all of the required information.

You will need to establish your organisation's settings for the following categories of information:

  • Reporting Organisation Information
  • IATI Registry Information
  • Automatic Update option
  • Default Values

Reporting Organisation Information

This is information about your organisation, which will be common to all your projects. You will only need to enter this information once, and all your projects will use this same organisational information when you generate IATI-compliant project XML files.

  1. Organisation Name

This is the name of the organisation whose projects will be added to AidStream via this account.

  2. Organisation Identifier

This is the unique identifier for the organisation, which should be generated as per the standard.

  3. Organisation Type

This is the type of organisation, as defined by the OrganisationType codelist. Please check the list at the link and select the appropriate 'type' for your organisation.

IATI Registry Information

AidStream requires a Publisher ID and an API Key in order to automatically add and update your files to the IATI Registry. If you haven't already, you will first need to register as a user with the IATI Registry and then enter those IATI Registry details into AidStream’s IATI Registry Information settings page.

1. Registering as a user with the IATI Registry

You will need to first set up an IATI user account and then create a publisher account on the IATI Publisher Registry before you can configure your organisation's settings in AidStream. Instructions on how to do this are on the Registry website.

**Publisher ID **

When creating an account on the IATI Registry, you will be asked to choose a Publisher ID. We recommend that you use the same identifier you have specified when setting up your AidStream account, as explained on the Registering an Organization userguide page here.

2. Enter your new IATI Registry information into AidStream

Once you have created an account in the IATI Registry you will need to enter the Publisher ID and API Key which IATI have provided you with into the AidStream 'Settings' page (see below).

The API Key

You can find your API Key by logging into the IATI Registry, clicking the 'My account' tab in the User Account dashboard, and scrolling down the page to where the API Key is located. The API key is clearly marked and looks like a series of numbers and letters, coloured red (see below).

Copy your API Key and paste it into the correct field in AidStream’s IATI Registry Information settings page below:

Please get in touch with us at [email protected] for any issues related to the IATI Registry so that we can work on with you separately to resolve the issue.

Automatic Update option

You will be asked if you want AidStream to automatically update the IATI Registry with the projects you add, or edits you make to your projects, in AidStream.

To enable automatic updates, select the ‘Yes’ option in the AidStream settings page (see above).

If you choose to leave this option as ‘No’, you will have to manually publish files from AidStream to the IATI Registry. The IATI XML files will be generated for you once you have completed the 4-step process which takes your project from 'draft' to 'published'. At this point, your files are published only within the AidStream system but you will have to then manually select and publish these files to the IATI Registry. You can learn how to do this here.

Default Values

There are two fields of information for which you can define the value at the outset, to ensure that these values are consistent across all of your projects. These two fields are:

  1. Default currency
  2. Default language

By setting these fields to default values in the Default Values section, you will not need to spend time re-entering them each time you add a new project.

You can always override these values for any given project by using the Override Project Default Values option, which you will find at the top right of the 'Project Overview' page. Learn how to do this here.

Now that you have finished setting up your AidStream Tanzania account and you're ready to publish your project data to the IATI Registry, learn how to add a project.
