Viewing restrictions using Manage Top Containers
You can view a list of all restricted boxes within a collection using Manage Top Containers.
- Log in to ArchivesSpace and make sure you are in the appropriate repository.
- Click the gear icon next to the repository acronym and choose "Manage Top Containers"
- Either start typing the collection name in the Collection field, or use the Browse function to find the collection you want.
- Click Search.
- Click on the "Restricted?" column to sort the list of containers by restriction value. If the tiny arrow is pointing down restricted boxes will be listed first. If it's pointing up, they will be listed last. You can click the column name multiple times to change the sort order.
- If you would like to then see what exactly in a container is restricted, click "view" in the row for the container you want. The "Active Restrictions" section on the container page will show you restrictions that apply to that container, along with either the type of restriction or an end date for the restriction. Note that you cannot see this in Edit mode, you must be in View mode.
- You can then click on the linked record(s), if any, to view the Conditions Governing Access note and read the full details of the restriction.
Viewing restrictions beginning in the PUI
The Conditions Governing Access note on an archival object in the PUI should note what, if any, restrictions are on that material. However, there may be other material in the same container that is restricted. To confirm the entire container is open, follow the below steps.
- Make sure you are logged in to ASpace so the "Staff Only" button appears in the PUI.
- From the archival object in question, navigate down to the Physical Storage Information section and click on the linked container record.
- Click "Staff Only". This will bringing you into Edit mode for the box. You cannot see restrictions in Edit mode.
- Switch to View mode by clicking the container name in the breadcrumbs. This will be the part after "Home / Top Containers /"
- The "Active Restrictions" section on the container page will show you records with restrictions that apply to that container, along with either the type of restriction or an end date for the restriction.
- You can then click on the linked record(s), if any, to view the Conditions Governing Access note and read the full details of the restriction.
