Overview

Top containers may contain material from multiple collections. This is most common in cases of very small collections or of collections with a few oversized items. When entering data into ArchivesSpace, it is important to avoid creating duplicate top containers. Instead, each container instance should be linked to the shared top container.

How to Link a Container Instance to an Existing Shared Top Container

If you have not yet added any top containers to the record, simply type the box number or barcode into the search box. This will search all top containers in the repository and you can then select the appropriate top container.

However, if you have already added a top container to the record, the search box will only show those containers. This is to prevent accidentally linking to a top container with the same number in a different resource. In this case, click the down arrow next to the search box and select "Browse." This will open a pop-up that allows searching across all resource records.

Numbering System for Shared Boxes

Shared boxes should be numbered in the style CA/MRBC/SSC Shared #.

To determine the next box number, enter the text "CA/MRBC/SSC shared" (including the quotation marks) in the keyword box under "Manage Top Containers."
