This is the work carried out after the normal deaccessioning process results in a signed deaccession authorization form filed in the applicable electronic donor file(s) and the appropriate catalog record(s) have been deleted from FOLIO (and OCLC if applicable).

  1. Recordkeeping
    1. For pre-2018 MRBC accessions: Look up the item in the paper accession books and cross out the entry.
    2. For MRBC accessions from 2018 to mid-2024 (ending with 2024-M-0108): Find the accession record in ArchivesSpace and delete it.
    3. For all subsequent bibliographic accessions: No additional action needed.
  2. In the item, stamp the withdrawn stamp over any Smith College bookplate or accession information. If neither is present, stamp over any repository stamp.
  3. Disposal
    1. If the collection steward has determined that the material is of sufficient financial value to warrant sale, give material to the Collections Archivist who will coordinate with the steward.
    2. If the material is in poor condition or has minimal potential for reuse, discard it.
    3. Otherwise, put the material on the free shelves in 106. The Collections Archivist will donate any remaining books annually to the League of Women Voters of Northampton book sale.
