Accessioning Checklist - smith-special-collections/sc-documentation GitHub Wiki
The following steps must be completed in order for an accession of archival material to be considered complete.
-
Completed deed of gift, records transfer form, or sale agreement obtained
-
The collection steward has reviewed the materials and verified they are what the steward expected
-
Materials have been surveyed for content and format and an Accession Record has been created in ArchivesSpace.
-
Physical work to be done with materials:
-
Materials have been checked for mold, pests, and/or dirt. Any contaminated materials have been separated and removed to the Quarantine Room.
-
All materials housed in sturdy boxes
-
All materials foldered. Re-foldering only if the current folders physically endanger the materials, for example, they are grossly overstuffed and causing physical damage
-
Adding box spacers to partially-filled boxes, condensing boxes if done easily
-
-
Boxes have been labeled and barcoded
-
A new resource record has been created or an existing resource record has been updated to include the new accession. For description requirements at the resource and component levels, see: Finding Aid Metadata Requirements
-
Top-level containers have been created and linked at the appropriate level of the resource record, with container profiles and locations
-
A new or revised finding aid has been published
