Introduction and purpose.

Kenya is among the leading sub-saharan countries in the adoption of information technology applications through the implementation of electronic health records (EHRs). At the core of an EHR is the concept dictionary which undergoes timely evolution to meet the needs of a healthcare organization.

The purpose of this document is to guide the development and moderation of new dictionary terms for the Kenya Metadata Server & Terminology Service Working Group. This document outlines the procedural workflow for the development of new dictionary terms for the national terminology service.

Justification

Proper documentation is eminent for every OpenMRS based implementation. Therefore, workflow documentation is required for new dictionary terms development for The Kenya Metadata Server and Terminology Services.

Metadata Working Group scope of work for the development process.

A. Recognition of the need for new dictionary terms

B. Management of form content

C. New term(s)proposals.

  • This encompasses conformance with the openMRS concept dictionary requirements of a concept proposal spreadsheet.
  • The working group terms development lead should decide on whether to have a separate concept proposal spreadsheet for drugs
D. Terms creation.

Objectives.

To develop workflow procedural processes for the development and moderation of new dictionary terms.

Metadata Server & Terminology Services Standard Operating Procedure for Proposed New Dictionary Terms.

Step 1. Research the proposed new dictionary term(s). If it exists on the metadata server.

Step 2. Documentation of the research findings. Use the spreadsheet to document the research findings and make recommendations.

Step 3. Each month, the working group new dictionary terms lead should provide the metadata server forms and concepts team lead a list of new dictionary terms and a list of term(s) that need a medical doctor’s (MD) input.

Step 4. The working group new dictionary terms lead should make a follow up on the term(s) that need a medical doctor’s input, make recommendations based on the MD feedback and submit a final list to the metadata forms and concept team.

Step 5. The Metadata forms and concepts team will make the new additions to the terminology service.
