Granting email

Requirements

  • You must have authority to create user accounts (i.e., admin access) within the OpenMRS Google Workspace
  • You need to have the user's full name (given and family names), OpenMRS ID, their existing (non-OpenMRS) email address, and a reason why they need an @openmrs.org address

NOTE: we have a limited number of free user accounts within Google Workspace and it's rare for these accounts to get released once created, so cannot grant an account to everyone. Persons requesting a user account within the OpenMRS Google Workspace (i.e., an @openmrs.org email address) should have a good reason that the account is needed.

  1. Log into admin.google.com with your OpenMRS credentials
  2. Navigate to Directory > Users > Standard Users
  3. Within the Standard Users organizational unit, click on the Add new user link
  4. Enter the person's given name, family name, OpenMRS ID (note: always use OpenMRS ID for Google username, so for example OpenMRS user foobar has email address [email protected]), and their existing (non-OpenMRS) email address
  5. Click the ADD NEW USER button
  6. Click the PREVIEW AND SEND link to send a signup email to the user's non-OpenMRS email address (you do not need to copy or see their temporary password, the user will be prompted to create a new password when they sign up)
  7. Inform the user to look for the sign up email from Google and let them know how to set up their Gmail account. For example:

Please look for a sign up email from Google. If you do not see it soon, check your spam folder. Unless you really want yet another email inbox to check, we recommend setting up Gmail to your new @openmrs.org address to auto-forward to an existing inbox.

  1. Once you sign into your new OpenMRS account, click on the Gmail app (or navigate to mail.google.com and sign in with your new OpenMRS credentials)
  2. When signed into Gmail, go to all settings and find the "Forwarding and POP/IMAP" tab
  3. Set up forwarding to your existing email address and deleting the message. Then you can receive any emails to your new @openmrs.org address in your existing inbox and can set up your existing email client to send mail as your @openmrs.org address.
