Enhanced Meeting Planner Concept - noorzaman/emp GitHub Wiki

Minutes

Corporate America loves to meet

  • We hold meetings:
    • Within the company
    • With people outside the country
    • With people in the same office location
    • With people in different branches
    • With people of higher and lower rank

Meeting Planning is Poor

  • Need to schedule a meeting with 5 people ◦ 2inNYC
    • 2 in San Francisco
  • Look at the calendars
    • Next free time: 8:30pm EST
    • Following free time: 8:30 am EST (5:30am PST)
    • Outlook planner: 2 weeks in future
    • Slot on Friday but it’s during boss’s lunch time
    • If we ignore one person in SF, then:
      • Slot on Monday week 10am will work!

Meeting Planning is Poor

  • Need to add a room for 10am meeting
    • None in NY at that time in the main building
    • One available slot in Building 110 -> booked!
    • Nothing available in SF at that time – theycan book their own office
  • Success!

Mary....

  • Building 110 in NY is 2 blocks away
  • The meeting is really mostly for Mary
  • Mary will arrive 10 minutes late and have to leave 15 minutes early for the meeting that is 2 blocks on the other side of her office
  • Forget it
  • Cancel the meeting

Booking Preferences

  • Can a creative team solve this problem?
  • Notion of people importance
    • Some people are critical for meeting
    • Some want to be included but who cares
  • Notion of seniority
    • Not going to block SVP’s lunch hour or make himcome to my office
  • Notion of defaults
    • I always book conference room round the corner since it has fewer distractions and comfortable chairs
    • Boss always books conference room next to his desk with one good chair and one back-breaker

Platforms

  • Multiple email platforms on the market:
    • Outlook/Exchange
      • On-premise model
      • Cloud based model with Azure

  • How can you improve the meeting experience if you are visiting a remote site for the first time?
  • Can you book a room or place to sit?
  • Where are the available rooms?
  • How do you get to room 201.3F?
  • Is 201.3E close to 201.3F or is 202.3F?

Other Project Angles: Can IoT help?

  • Variety of opportunities for new technology to help solve the problem
    • Beacons, sensors, cameras
  • Is a booked room really in use?
  • Is the booked room the right size?
  • How can you find people on site?
  • Can you book the closest room?

Other Project Angles: Bots & NLP
