How to Pick the Right Venue
When evaluating a venue, consider:
- Size: Will it fit your anticipated group size comfortably (not too crowded, not too empty)
- Sound: Can multiple conversations happen at once without shouting? Is there a sound system that comes with?
- WiFi capabilities (but always have an offline backup plan)
- Accessibility: Is it wheelchair accessible? Consider posting accessibility information on your event registration page (width of doors, ramps, elevators, etc.)
Food & Amenities
- Label food options with allergens
Signage
- Signage: Signage can be simple, but so, so helpful. Post signs with large, bold type everywhere you can to make finding the event the easiest part of your attendees' experience.
WiFi
- WiFi access: Post WiFi code to a welcome slide on a projector screen (something like this). If you're in a larger venue, there's basically no such thing as posting the WiFi info in too many places.
- Workshop prep: Consider pre-packaging workshops for access at a local IP address to speed things up. The NodeSchool workshop authors highly value offline-first principles in the design of the workshops themselves, and it really helps when doing events such as this where we can’t rely on the internet.
