Admin — Theatre Departments
Overview
Theatre Departments represent the physical operating theatres in your facility — for example, "OT 1", "Minor OT", "Cath Lab". Each theatre is set up as a department with type Theatre and is used throughout the system for reporting, stock management, and OT room-wise surgery tracking.
When to Use
- Setting up a new operating theatre room before it goes live
- Renaming or deactivating an existing theatre
- Ensuring OT rooms appear in theatre reports and room-wise surgery counts
Required Privilege
InwardAdministration (or a role with system administration access)
Navigating to Theatre Departments
- Click Administration in the main menu
- Click Manage Inpatient Services
- Look for the Theatre or Departments section and select Theatre Departments
Note: Theatre departments may also be managed under the general Departments administration area. The department type is set to Theatre automatically when created from this section.
Adding a New Theatre
- Click Add New (or the + button) to open the theatre entry form
- Fill in the required fields:

| Name | The display name for this theatre, e.g., "OT 1", "Minor Theatre", "Cath Lab" |
| Code | A short code for the theatre (optional but recommended for reports) |
| Description | Additional notes about the theatre (optional) |
- Click Save — the theatre is created with department type Theatre automatically
- A success message confirms the record was saved
Editing a Theatre
- Find the theatre in the list
- Click the Edit button (pencil icon) next to it
- Modify the name or other fields as needed
- Click Save to apply changes
Deactivating a Theatre
To remove a theatre from active use without permanently deleting it:
- Find the theatre in the list
- Click the Delete button next to it
- Confirm the action — the theatre is soft-deleted (marked as retired) and no longer appears in active selections
Important: Deactivating a theatre does not affect historical records — past surgery bills assigned to that theatre remain intact.
Searching Theatres
Use the search box to filter the list by theatre name. Type part of the name and the list updates automatically.
Best Practices
- Use consistent, clear naming conventions — e.g., "OT 1", "OT 2" — so staff can identify rooms easily in dropdowns and reports
- Create separate entries for the Cath Lab, Minor OT, and major OTs if they have different staffing or billing structures
- Assign the correct department to theatre services so charges are grouped correctly in inpatient bills
