Warranty and lease alerts
Knowing a warranty has run out is useful. Knowing a lease ends in six weeks is the one that costs money if you miss it β and until 2.5.0 FreeITSM could not record it at all.
The original lifecycle brief said "warranty/lease expiries". Only warranty was built. This is the other half.
3.5.0: lease agreements, schedules and a Due back list now live in Assets β Leases - see Leases. An asset on a lease has these dates filled in and kept in step for you.
The dates on an asset
Open any asset and the procurement block now carries two dates:
- Warranty expiry β as before.
- Lease ends β new.
Beside each, a date that has passed shows a red Expired, and one within the next 30 days shows an amber in N days. A date further out shows nothing at all, which is most of them β the flag is there to catch your eye, not to decorate every asset.
The flag appears the moment you save the date; there is no refresh.
The 30 days here is fixed on purpose. The windows you configure below decide what reaches the dashboard and the calendar, where too large a number buries everything else. This is a mark on a record you have already chosen to open, so it has nothing to crowd out.
Where expiries show up
Assets β Settings β Expiry alerts has two blocks, one for warranties and one for leases. Each offers the same choice:
| Setting | What it does |
|---|---|
| Show expiries in | Nowhere Β· the Watchtower dashboard Β· the Calendar Β· both |
| Warn this many days ahead | How far in advance something counts as "coming up" |
The lease default is 60 days, where warranty is 30. A warranty running out is worth noting. A lease ending is a date you need to have done something about beforehand β given notice, arranged a return, negotiated a renewal β and six weeks is not long for that.
On the dashboard
The Assets card on Watchtower counts anything already expired or expiring inside your window, with Warranty and Lease as separate figures. Either one turns the card's light red β both are dates that cost money once they pass, unlike a machine that has merely gone quiet.
On the calendar
Each date becomes an all-day entry β "Lease ends: LT-001" β in its own category, Warranty or Lease, so you can tell them apart and filter them like anything else.
These entries are generated, not typed. Change the date on the asset and the entry moves with it; clear the date and it goes.
The two kinds are independent. Switch leases off and only the lease entries disappear β your warranty entries stay exactly where they are, and so does everything you put in the calendar yourself.
Renaming the category
You can rename Warranty or Lease to anything you like β Leje, CrΓ©dit-bail, whatever suits β and change its colour. FreeITSM remembers which category it created rather than what it is called, so renaming does not cause a duplicate to appear.
That also works for a rename you did before 2.5.0: it looks at where its entries are actually filed and adopts that one.
If you delete the category outright, nothing breaks β a fresh one appears the next time the dates sync.
A note for anyone upgrading. Run System β Database Verification after updating: the lease date is a new column. Until you do, everything behaves exactly as it did before, and the lease field simply shows nothing.
