To save effort, go to the last meetup event, click on Manage, then Copy Event

Title

Usually follow the format "Talk title, with Presenter Name"

eg. "Awesome .NET Tips, with David Gardiner"

Sometimes you might need to edit it a bit if the suggested title is too long for Meetup (eg. by dropping the speaker name)

Date and time

2nd Wednesday and 5.30pm

Duration usually 2 hours (to allow for pizza etc)

Feature photo

Take the first PowerPoint slide and export that as a JPEG.

  1. Open PowerPoint and load the "Welcome - yyyymm.pptx" file
  2. Have the title (first) slide selected
  3. Go to File, Export, Change File Type, JPEG File Interchange Format and Save As
  4. Click on on the file name
  5. At the Which slides do you want to export prompt, select Just this one

You should now have a "Welcome - yyyymm.jpg" file that you can upload

Description

Start with "An in-person and online event!"

Then repeat the talk title in bold.

Then include the summary or abstract provided by the speaker

If Simon has produced a promo video, add a link to that.

Then finish with this text:

This is an in-person event. Virtual attendance will also available. The link for online attendance will be sent out to registered attendees a day before.

Speaker name/bio

Use the separate Speaker name and Speaker bio fields for these.

Upload a photo of the speaker too (look on Twitter or LinkedIn if you weren't supplied with one).

Topics

Pick the most relevant topics. Meetup doesn't always have ones that you'd like.

Location

Select the appropriate room (usually Room JS1-13), and in the How to find us field enter "On the ground floor of the Jeffrey Smart building"

COVID-19 safety measures

Just select indoor venue, and leave the others

Hosts

Add additional hosts if needed

Choose at least one communication tool

Leave both enabled

Optional settings

Until Meetup have a proper way to configure a hybrid meeting, enable the Ask members a question field and enter the text "If attending in-person indicate any dietary requirements. If attending online type 'online'"

Leave other options disabled (including Registration form)
