  • maintain membership list - internally, and on GopherLink
  • we base membership on event attendance over the semester, so need some kind of system to aggregate event sign-ins.
  • make sure Secretary is tracking event attendance with sign-in sheet. Otherwise you won’t have info you need!!
  • add members to the list (& GopherLink) when they hit the membership criteria
  • maintain ACM room access list, communicate list to ACM
  • (ACM offers our members free membership & room access)
  • register for and organize/host outreach/recruitment events - tabling, Activities Fair, Paint the Bridge, CS Department Welcome Night, etc.
  • responsible for preparation of promo materials for recruitment - ex., tri-fold board for tabling
  • respond to all student inquiries about club membership

Advice

Emailing

Add your group as a recipient on your first email response to student inquiries, so that other officers know that the student has been replied to. In the same vein, reply in a timely manner!

If you're unsure about what to put in your replies to students, or if you're not sure exactly how to write it, take a look at some of the sample emails in ACM's Github's resources repository.

Events and signup

When going to promotional events like Explore-U, we made sure to bring a signup (digital or paper) for our mailing list. Collect both name and email from interested individuals.

Other than the signups, you might also want some other things to entice people to your table. Free candy is always a good option. We also passed out stickers. If you want to have flyers, print 4 per sheet. Quarter sheet flyers are more convenient to carry around, and kill 1/4 as many trees.

Also, stand in front of the table. Something about being behind the table makes you seem more distant. You want to seem friendly and approachable, and hopefully that will reflect back on the club. It also makes it less awkward to call out to people wandering around the table. Don't just wait for people to stop at your table. Try to pull in anyone you can.
