Event Info Checklist

Make sure to gather this info and include these things on promotional materials for events that ACM-W hosts

  • Where it is
  • When it is
  • Why people should come (aka food)

Event Promo Checklist

  • Facebook event creation
  • Share event on FB groups (Computer Science, WISE, etc.)
  • Z-link the Facebook event URL
  • Poster creation using z-link
  • Hang posters around Keller/CSE buildings (REposter as needed!)
  • Email Blast
  • Undergraduate Mailer blurb
  • Add event to SESB calendar (include z-link)
  • Add event to GopherLink (include z-link)
  • Countinuously promote event leading up to the date - share it on our FB page, etc.

Promotional Materials

Printable Materials

Canva is a great, free website where you can make professional-looking posters/advertisements/pretty things. Right now, we use our personal accounts to make posters. We download the files as either pdfs (for posters) or pngs (for images), and add them to the Google Drive.

Store printable things in the group Drive; posters, fliers, that kind of thing. SVGs can be opened and edited with Inkscape. Making them with Inkscape means we can scale them to whatever size we want and not lose any visual clarity.

Z-link

The UMN website z.umn.edu allows you to shorten long URLs. All you have to do is enter the URL you want to shorten and choose a shorted z.umn.edu/yourInput URL. Including the shortened URL on posters and other promotional materials allows viewers to more easily access a website.

Facebook

You should get access to the ACM-W Facebook account. There, you can create events. A custom heading picture created with Canva is a nice touch. To share the event in other groups, you may need to join those groups and share the event using your personal account. Some good groups to share with are the Computer Science group and the WISE group.

Emailz

Mailchimp Email Blast

There is a ACM-W MailChimp account. The username is ACMWMN. There are templates and different graphics that you can use in the email blast. The email typically includes:

  • Our upcoming events
  • Other events that our members might be interested in
  • Scholarship opportunities
  • etc.

Before sending out a newsletter, make sure to import the emails and names of people who recently attended our events. This information should be contained within a Google (xcel) sheet. You can download that sheet them import it into MailChimp by navigating to "List" > Selecting the carrot next to "Email Blasts" > "Import" > "Copy/paste from file" > etc. You got the rest.

Undergraduate Newsletter

Every week, a computer science adviser will compile an email newsletter to send to all undergraduate computer science students. Right now it's Kevin! This is email: [email protected]. Email him with a short blurb about an upcoming event, and he'll confirm if he can put it in the newsletter. The blurb should be similar to what you would put in the Email Blast, but perhaps a bit more condensed. (Not sure what day of the week it goes out, but make sure to get it to the adviser at least a day before they want to mail it out.)
