Introduction

This page is to guide you through the process of joining Astrobotics at Virginia Tech.

To be a member of the team you need to meet the following criteria:

  • Be a student at Virginia Tech

The following items are required:

  • Get your Ware Lab badge and place it in the bay.
  • Create a GitHub account.
  • Fill out the roster form.
  • Join the team's 2 Google calendars.
  • Join the team's Discord server.
  • Fill out the confirmation of WL badge, Monday, Gcal, Discord form.

Deadlines

  • As of 2025–2026, we are only recruiting very early in the Fall. These steps must be completed by the end of Wednesday, 10/1/25.(note that Dewey will take a while to give you your new Ware Lab badge)
  • You are responsible for getting these basic items done in the time allotted. Procrastination will not work on this team, so this process is designed to make it hard for procrastinators to join (because procrastination drags the rest of the team down).
  • The forms will close at midnight on the 10/1/25, the team will not be accepting new members after that date even if they have partially completed the onboarding process. If you believe you have truly extenuating circumstances, you can email the team email at [email protected]. Requests will be handled on a case-by-case basis.

Steps

Ware Lab badge

  1. Review the steps found in the word document attached to the discord message that brought you here.
  2. Take a picture of your badge on the fence so you can fill out this form later.

You may find this Ware Lab tour video useful.

Note: When you email your information, 2 busy individuals must manually process your submission. Only then can you pick up your badge when Hokie Passport Services is open (typically 9–5 M–F). Do not count on them processing your info in 24 hours or less. Also the team lead email is currently [email protected]

Create a github account with your VT email using the following link. Having a personal account is also ok.

Roster form

Fill out this form to be included on the teams roster.

If you are having trouble, please confirm that you are signed in with your VT email.

Once you complete the below steps, upload screenshots to this form.

Team calendars

After completing the roster form, we will send your personal Gmail Astrobotics calendars. There are 2 calendars in 2025.

You will receive an email for each calendar. You are then responsible for using those emails to your calendar (you can import them automatically to Outlook calendar if you prefer) because these will contain important event/meeting information.

Discord

This is the team's main channel of communication. Under 24-hour response time is expected.

When you join, please change your server nickname (this is only your name on our server, nowhere else) to include your first name.

Confirmation form

Once you have completed all of the above items, fill out this form to confirm everything was completed.

Conclusion

If you do not fill out the roster and confirmation form you will not be able to continue the onboarding process after 10/1.
