Introduction
The team is using One Drive as the storage solution for our Solidworks files. The software to manage these files is sharepoint. The teams sharepoint can be found here:
If you have a better way to manage the files (that is free), please reach out and work with us.
Setup
- To start, you will need to go to here and click "Start OneDrive"
- Log in with your virginia tech email and password.
Note: If it gets stuck loading, restart your computer.
Note: Skip any of the prompts that ask you to sync your personal files with OneDrive.
- Now you will need to gain access to the sharepoint. Click the link here and press "Request Access"
Note: You will need to wait for a team member to grant you access to the site.
- Once a team member has granted you access to the sharepoint, click the link above and bookmark it. This will be your interface for managing CAD files.
- To sync the files on the workspace with your native file manager you will need to navigate to the "Files" page on the sharepoint.
- Once on the "Files" page, click the following button:
Note: The "Add shortcut to OneDrive" will not be available on the preview of the files on the "Home" page.
- Now you should have access to the teams files on your personal machine now. You can locate the folder with the following path:
C:\Users\Joe\OneDrive - Virginia Tech\Documents - Astrobotics CAD Workspace
You will need to replace "Joe" with the username of your computer.

Pin the folder to your Quick Access by right clicking and selecting "Pin to Quick Access".

You have now set up your computer to interact with the team's file management system.
Using the Sharepoint
The share point is divided into folders
- Each subsystem (01, 02, 03) have their own folder. This is dedicated to the current most progressed model of their subsystem.
- Any additional resources are stored in the "Additional Resources" folder.
- This includes last year's robot and projects specific to the bay.
- The last folder is called "Workspaces". This is where any work you are developing will live.
To start, open the "Workspaces" folder and create a new folder with your first and last name as the title: "Joe Doe"
Important: If you are making an assembly, all files in the assembly must be present in the sharepoint. You can not create any external reference to files on your local machine.
To check out a file, right click and hover over "More". The "Check Out" button will be there.
Whenever you are working on files outside of your workspace, you must check out the file.
- This will put the file in a "read only" state for everyone else and ensure that no one else is trying to edit the file you.
- It also allows revisions of files to be saved and restored.
- When a part is checked back in, it will create a revision of the part and store the previous revision under the version history.
You must be in the "Files" page to see the option for "Version History"
