This page provides a guide to the new PnP extraction validation feature in Cord Field. After a quarterly progress report is uploaded to the Quarterly Reports card, Cord Field will log any errors identified during the extraction process. A red error icon will appear, showing a badge that indicates the number of errors found during the upload. Separate tabs will display the issues related to the "Planning" and "Progress" sections of your PnP.

Description: The total verse count in the scripture range listed in the "My Notes" column does not match the total verse count in the "Lifetime Verses to Translate" column.

Where: Planning tab (PnP) | Planning Spreadsheet card (Cord)

Why fix It: Cord Field is unable to process and upload goals if there is a discrepancy in verse counts. Consequently, accurate progress data for the language will not be reflected in Cord Field or in downstream reports, such as investor reports, velocity tracking reports, or other DOMO cards.

How to Fix: Please verify that the number of "Lifetime Verses to Translate" corresponds with the total number of verses in the scripture range noted in the "My Notes" column. After making any necessary corrections, update and save your document, then re-upload it to the Planning Spreadsheet card in Cord.

Description: The total number of verses in the scripture range listed in the "Books" (written projects) or "Scripture Reference" (OBS projects) column does not match the total verse count shown in the "Number of Verses to Translate" column. For OBS projects, the PnP automatically calculates the number of verses displayed in the "# of Verses" column. However, if the FPM overrides that number incorrectly, Cord will generate an error. For written projects involving the Luke and Genesis selections, the number of verses in the "Lifetime Verses to Translate" column must exactly match the number of verses in the book listed in the "Books" column. Otherwise, Cord will generate the error.

Why fix It: Cord Field cannot process and upload goals when there are discrepancies in verse counts. As a result, Cord will not extract the goals and accurate progress data for the language will not be reflected in Cord Field or in downstream reports, such as investor reports, velocity tracking reports, or other DOMO cards.

How to Fix: For projects that break out the individual chapters of Luke on separate lines, or for projects that break out Genesis into ten-chapter chunks on separate lines, please make sure that the total number of "Lifetime Verses to Translate" corresponds with the number of verses specified in the “Verses in Book” column. After making the necessary corrections, update and save your document, and then re-upload it to the Planning Spreadsheet card in Cord.

Description: The step headers of the PnP were changed to labels that are not accepted by Cord Field.

Why fix It: Changing the step headers can prevent your goals from being properly extracted when you upload them to the Planning Spreadsheet card. Additionally, it may hinder the tracking of progress for these goals when you upload your PnP to the Quarterly Reports card. Consequently, this can impact downstream reports, such as those for investors, tracking velocity, or other DOMO cards.

How to Fix: Please review and correct the step headers in the planning tab to align with the approved labels for the desired approach below. After making the necessary corrections, save the document and re-upload it to the Planning Spreadsheet and Quarterly Reports cards.

Description: The total verse count in the "verses to translate" column exceeds the total verse count found in the "Books" column.

Why fix It: Cord Field will not process or upload goals that have mismatched verse counts. Consequently, accurate progress data for the language will not be reflected in Cord Field or in downstream reports, including investor reports, velocity tracking reports, and other DOMO cards.

How to Fix: Please ensure that the number of "Lifetime Verses to Translate" is less than or equal to the number of verses listed in the "Verses in Book" column. After making the necessary corrections, update and save your document, then re-upload it to the Planning Spreadsheet card.

Description: One or more of your goals are scheduled to be completed after the project's fiscal year.

Where: Planning tab (PnP) | Planning Spreadsheet card (Cord)

*Notice that the "Justin Stanford Check" step was not extracted because it is not a standard step header.

Why fix It: If a goal is incorrectly scheduled for completion after the fiscal year, Cord will not extract the "Completed" step. This will impact the extraction of progress data for the language, which in turn will affect all related downstream reports.

How to Fix: In the Planning tab of your PnP, please review the goals and ensure they are scheduled for completion within the project's fiscal years. After making any necessary updates, be sure to save the changes. In Cord Field, manually delete any affected goals. Once you have completed these steps, re-upload the revised PnP to the Planning Spreadsheet card.

Description: One or more goals are incorrectly marked in the Progress tab to be completed after the specified date range of the project.

Where: Progress tab (PnP) | Quarterly Reports card (Cord)

Why fix It: As a result, Cord will not extract progress for the goals that are labeled as "Completed" beyond the designated date range. This will impact the extraction of progress data for the language, which in turn will affect all related downstream reports.

How to Fix: In the Progress tab of your PnP, please review the goals and ensure they are marked to be completed within the project's date range. After making any necessary updates, save your document and re-upload it to the Quarterly Reports card in Cord.

Description: The goals that are in Cord for this language do not exactly match the goals that are in the PnP. Things that could be causing this: Cord has a goal that the PnP does not have; the PnP has broken up a single book across multiple lines, but Cord has not; two or more goals on the planning tab refer to the same book and have the same number of lifetime verses to translate, but no Scripture references are provided to distinguish them; or any other way in which Cord's goals do not exactly match the PnP's.

Why fix It: While Cord Field may extract initial goals, it faces challenges when trying to match additional goals with the same book and verse count after a Change to Plan, for example. If it cannot match these "unspecified" scripture references, it may incorrectly drop a goal as a duplicate, leading to unuploaded goals and missing progress information. Consequently, translation progress for this language will not appear in CordField or downstream reports, like investor, velocity tracking reports, or other DOMO cards.

How to Fix: Bring the goals in Cord Field and the goals in the Planning tab of the PnP into exact alignment. This may require updating Cord and/or your PnP, depending on your specific situation.

Step One, check Cord Field's goals. If the error is clearly in 1 of Cord's goals, delete the erroneous goal in Cord and create a corrected one. Then, check the Planning tab of your PnP for errors. If your PnP has multiple goals in the same book with the same number of verses, add specific Scripture references^* to the "My Notes" column for each goal in the set. Please ensure that only "Scripture" is added to the "My Notes" column, without any additional notes (e.g., Genesis 1:1-25)^**. Save your document.

Step Two: In Cord Field, manually delete all previously uploaded unspecified goals (e.g., Genesis 25/1533) from the language engagement card. Simply uploading a new version of the PnP and trying to re-extract goals will not remove the old ones; each existing goal must be deleted individually. After you have made these updates, re-upload the PnP to the Planning Spreadsheet card. Additionally, make sure to go back into each goal to add the distribution methods, identify the partners responsible for those distribution methods, and verify that the completion descriptions are accurate.

Step Three: In your quarterly report, click the small refresh icon on the PnP File card to attempt to re-extract progress data from this report now that the goals have been corrected.

**It is acknowledged that "My Notes" is normally used to record both Scripture references and other management info. For the moment, in resolving this particular error, Cord Field is not able to process both a Scripture reference and other management notes in the "My Notes" column. To resolve this specific issue, please leave only a Scripture reference in "My Notes", being sure to maintain your management notes in another way (i.e. in a blank column out to the right, using the Comment feature in Excel, or by taking a note outside the PnP).

Description: The quarter reported in Cord Field (1st screenshot below) does not match the Reporting Quarter selected on the PnP (2nd screenshot below).

Where: Progress tab (PnP) | Quarterly Reports card (Cord)

Why fix It: If the Reporting Quarter selected on your PNP does not match the quarter reported in Cord, the summary percentages will not upload to Cord (3rd screenshot above) as they will not show on your PnP for Quarterly, Yearly, and Cumulative progress (4th screenshot above).

How to Fix: In the Progress tab of your PnP, make sure to select the correct Reporting Quarter and Year. In Cord Field, ensure that you are uploading your Progress Report to the appropriate quarter. The Reporting Quarter and Year in your PnP must be the same as or later than the quarter you are reporting on. For example, if you are uploading a Progress Report for Q2 of 2024 in Cord, you should select the Reporting Quarter for Q2 of 2024 or a later quarter in your PnP.

Description: The quarterly report contains goals or steps of goals that lack corresponding plans recorded in Cord Field for this project.

Where: Planning or Progress tab (PnP) | Planning Spreadsheet or Quarterly Reports card (Cord)

Why Fix It: If a step was mistakenly omitted from the Planning tab or progress was incorrectly recorded on the Progress tab, the cumulative progress may display inaccurate data, and all downstream reports will reflect that inaccuracy.

How to Fix:

Scenario 1: If this is simply "bonus work" beyond the approved goals and you do not intend to officially modify the goals through a Change to Plan at this time, you can disregard this warning. The error message will continue to appear, but it is not a concern in this situation. Remember, the goal is not to eliminate all system errors but to maintain accurate data!

Scenario 2: If a step was mistakenly omitted from the Planning tab and should have been included (for example, after a Change to Plan), please update the Planning tab of your PnP and adjust the goals in Cord Field accordingly. Additionally, you may want to re-extract the goals to the Planning Spreadsheet card. If Cord did not properly extract the steps for all goals, please correct this manually. Afterwards, re-upload your report to the Quarterly Reports card.

Scenario 3: If progress was recorded in error (due to a data entry mistake), be sure to delete the incorrect progress entry from your PnP and then re-upload the report to the Quarterly Reports card.
