Data labels allow you to display important task details directly on the Gantt chart itself. This makes it easier for report viewers to understand your project schedule at a glance without needing to hover over individual bars to view tooltips.

1. Adding Data Labels to Your Visual

By default, data labels are not displayed on your Gantt chart. If the Data Labels field well is empty, your tasks will show as clean bars with no additional text.

To display data labels, drag the fields you want to show into the Data Labels field well. By default, the field name is shown alongside the value (for example, Manager: Sara).

2. Displaying Multiple Fields in a Label

If you want to display more than one piece of information for each task, you can add multiple fields to the Data Labels field well. When multiple fields are active, the visual will combine their values and separate them using a vertical bar (|).

3. Customizing the Style and Content of Data Labels

You can adjust how the data labels look and what content they show. In the Format pane, expand the Data Labels section to customize the following settings:

  • Data Labels (Toggle): Turns data labels on or off for the entire Gantt visual.
  • Alignment: Choose where the labels are placed relative to the task bars (Right, Left, or Center).
  • Font Size: Set the text size for the labels.
  • Font Color: Set the text color.
  • Display Background: Toggle to show a background box behind labels to improve readability.
  • Background Color: Choose the color of the background box (visible only when Display Background is turned On).
  • Transparency (%): Set the transparency level of the background box (visible only when Display Background is turned On).
  • Show Field Names: Toggle to show or hide the names of the fields next to the values (for example, displaying Manager: Sara when On, or just Sara when Off).
  • Show Field Prefixes: Toggles whether Power BI's automatic aggregation prefixes (such as "First" or "Last") are shown before the field names.
