Welcome to Kreed Labs and Washington University in St. Louis! This page of the lab wiki will serve as a guide for the onboarding process in a (somewhat) chronological order beginning when hired! This page will draw information from experience of recent (July 2024) hires and other onboarding literature available on this wiki like the manuals found on the Lab Policies and Information page.
Background Check
One of your first tasks will be to authorize a background check. You will receive two emails about this: one from [email protected] explaining the need for screening and another from [email protected] which provides the link for proceeding with the background check. As the emails state, this screening process must be done before you can start working. Once the information and authorization has been provided to sterling, the screening process should only take a few days. You can expect to receive another email from [email protected] when the screening is finished.
WUSTL Key
Another email you will receive soon after accepting the position pertains to your 'WUSTL Key' which is the central authentication system for all services through the university like workday (more on that to follow) and Microsoft office. The email will be from [email protected] and will provide you with your Login ID and a link to follow for setting up a password and security questions.
In addition to configuring the WUSTL key, you will also need to set up two-factor authentication (2FA) using Duo. Visit this link for a step-by-step guide on setting up Duo. You can also visit the WUSTL connect main page to read more about both the WUSTL key and 2FA.
After setting this up, you will also receive another email from the same address notifying you that your office 365 account is activated, meaning you can use your WUSTL key to access your institutional email (via Outlook) and other Microsoft office software.
Badging
The process for obtaining an ID badge is initiated by the HR/ administrative staff in the psychiatry or anesthesiology departments (depending on if covered by Lex or Meaghan, respectively). You should receive an email from an administrative staff member asking for a recent photo of you to appear on the badge. Once that is provided, and they submit the badge request, you'll receive an email confirmation from [email protected]. The order will likely be available to pick up on the same day, if not the next day. Badges are picked up at the desk on the ground floor of the Mid Campus Center (4590 Children's Place, pictured below):
Workday
Workday is an administrative service used at WashU to manage people and tasks. It is a crucial part of the onboarding process and will be useful for various administrative tasks throughout your employment. You can read more about workday here. One of the first tasks available once you get into workday will be a course called "introducing workday" which should provide the basics of navigating the website. You can also visit this website for assistance in using workday.
Onboarding steps
Groups 1-4
Most onboarding steps are laid out above, beginning with general information and completing the I-9 form. The first two groups must be completed before first day of work.
Benefits Enrollment Overview
- New lab members are eligible to select benefits through the WashU HR Benefits Portal after official hire and account setup.
- You typically have 31 days from your hire date to make your benefit elections.
- Log in to Workday using your WUSTL Key.
- Navigate to: Menu → Benefits → Change → New Hire Enrollment.
- Review and select your options for: Health Insurance, Retirement Plan, Flexible Spending Accounts, Life and Disability Insurance, Transit and Parking Benefits
- Note: You can get a free Metro U-Pass from the University once you've been with WashU for at least 4 weeks! Go here:
Clocking hours (Staff only)
When starting the work day, login to workday and open the "Time" tab, under the Time Clock tab select the "Check in" button, this will clock you in.
When ending the work day, login to workday and under the same Time Clock tab select the "Clock out" button, this will clock you out.
When requesting Vacation or Sick leave, go into the absence tab in Workday and select the days which you will be taking off and how much of the day will be taken of (typically 8 hours, can be less if it was a partial day). Ideally alert Lex or Megan as soon as you know you are missing and any people you are working with during that time.
Learn @ Work
Workday will assign worker trainings based on your position, these will appear on your to-do tab and can be completed by following the links in them.
Make sure to complete any EHS, DCM, and IACUC Training modules on a yearly basis as these are required by the university.
WashU provides extra classes that employees can take for extra qualifications or training, such as the Aseptic Surgery Wet Lab, Basic Mouse Handling, and Shipping Training Category B, Dry Ice and GMO
Animal Facility access
First download and fill out the Card Access Request Form, you will need; The number of the rooms you will be requesting access for, the building in which they are located, the PI Protocol number, PI Name, and their signature.
Access to Software
These software provide a place to cooperate on work and easily share files within the lab
- Microsoft Box Login with your WashU Outlook credentials after being sent the invite link by admins (Lex or Megan)
- Get added to the labs Google Calendars, such as the Kreed Lab - Meetings and the Vacations/Sick Leave. Also join the Surgery Suites 1 and 2 calendars as those are how we ensure they are available whenever people want to use them
- Join the Slack as its how the lab communicates, make sure you put Lex or Megan and other important people as VIP's to not miss their messages!
