Notes From Client Meetings w/ Nikki


01/18/2024 Meeting:

Introduction to Organization

  • Company made in 2018 by Nikki's husband, Nick
  • Goal to help other people and veterans
  • Non-profit organization
  • City has previously presented them with an offer to host an off-road Jeep event
    • There will be another event this year, and Nikki wants to create an app for it (she's in IT too)
  • Events span out 4 days, expos last 2 days

Additional Ideas/Requests/Info for Application

  • Nikki wants an app as somewhere to start, that can be updated throughout the years
  • This app should help make this year's event easier to navigate
    • Request: Application to have a function for the ability to send out notifications to everyone
  • American flag color theme; this year the expo color is blue
  • Make sure app follows along with the color theme from website and Facebook page
  • Nikki can provide graphics, logos, or anything we may need for designing purposes
  • Nikki is open to suggestions throughout the development of the app
  • No hard date set for application to be done, just needs to be before the event in June
  • Nikki is interested in easier ways to market the app once developed (ex. QR codes)

Other Topics/Misc. Questions Brought Up in Meeting

  • Zach asked Nikki to send us photos she would like us to use in the app, or if we could have shared access to a photos folder, which she agreed on
  • Jeremy asked for the mapping/planned trails of the event to help with the navigation portion of the app
  • Group overall suggested having meetings each Thursday for around 30 minutes so we can keep an open flow of conversation going
    • Requested time for meetings be at 3:30pm CST

01/25/2024 Meeting:

Updates Given to Nikki

  • Jeremy gave an update on what we have been doing the past week--
    • delegating roles
    • looking at potential tools for development
    • found a software that has templates to start the app

Updates From Nikki

  • We should now all have access to the Google Drive
  • Nikki has been in contact with another person who works on the event, Jennie, and has a list of every activity for the entire event that she will email us
  • Nikki's husband has working on mapping out the event so we can use it for the app
  • The vendor and food truck map / list won't be finalized until later, so we may have to create a temporary template that Nikki can update with the information closer to the event and for future events
  • Nikki is still looking into the non-profit license pricing for uploading the app to Apple iOS app store once the app is done

Things Discussed After Meeting

  • "codecanyon.net" has several Flutter templates Jeremy has been looking at for an event management application
    • we may be able to find one we all like then update it to meet our needs
  • FlutterFlow also has a "Marketplace" within their website where we can find application templates

02/01/2024 Meeting:

Updates Given to Nikki

  • Jeremy showed Nikki our first drawn-out mockup and explained our ideas behind it
  • We told Nikki we will be working on the map portion this next week since it will be one of the main focal points of the application
  • Based on the fact that their will also be food trucks at the event, we may also split up the vendor page so there is an individual food and vendor page within the application

Updates/Requests From Nikki

  • Hungry Hungry Jeepers will include all the food trucks at the event, which will all be located together in the same area
  • The types of vendors at the event will vary; toys, jeep parts, clothes, etc.
  • She would like there to be an area within the user's profile in the app that can include the user's Jeep information/Jeep name/what they have done to their Jeep, potentially in the bio section
  • As a group, we agreed that the best notification type for our app may be a push notification through the app to the user's phones
  • She confirmed that an application is free to upload on iOS for non-profit organizations
  • She would appreciate any help on this project post-graduation if anyone is interested (good for resume)

Discussed After Meeting

  • Begin creating DFD for documentation draft submission on Sunday; Nicholas to start this, but team collaboration will be included where needed
  • Logan to take charge and complete a wireframe of the app's UI for Sunday's submission that is due
  • We will not meet in person next Tuesday, but will have both a coach and client meeting on Thursday
  • Everyone to sign the Team Charter draft Claire typed out
  • Continue to look at Flutter and FlutterFlow so everyone is familiar with how each works
  • Everyone to look at the documentation draft before it is submitted on Sunday

02/08/2024 Meeting:

Notes from Jennie

  • Jennie is the coordinator for the events--she deals with documentation and scheduling
  • Jennie is to send us a full list of the food trucks, as this list is now locked in
  • Vendors for the event will be accepted onto the list up until the beginning of May
  • Jennie has an approved route of the city for the convoy that she will work on adding street names to before sending to us
    • She also asked if we were going to have an interactive map for the convoy on the application
  • Jennie will give us the list of the 3 musical acts that will perform during the closing party at the event; still being finalized as of now
    • Will include their names, time slots, FB link, etc.

General Discussion w/ Nikki and Jennie

  • A map of the obstacle course is wanted for the application once the mapping team finishes their map
  • Discussed the idea of adding a wait counter for the obstacle course to the app, since it is far away from the main event and people will have to wait in line to join
  • It was asked if there was a way to add a notification to tell people when the first Jeep has entered the convoy and obstacle course, or when the last one has left the convoy and obstacle course
    • Discussed how this may need to be formatted as a push notification that Nikki can control like the other notifications we will include
    • Later decided that this data may just be needed for the organization to have next year instead of being included as a notification
  • Nikki says Apple development/registration for non-profits is almost done on her side
  • Finalized list of sponsors will not be done until May
  • We updated Nikki that we do not think an interactive map will be a good idea right now because of the crowdedness of the vendors at the event center

02/22/2024 Meeting:

Notes with Nikki

  • Obstacle course mapping will be done as spring starts
  • Let Nikki know of any extra data we may need for ERD and interface design
  • List of things we still need, for reference:
    • vendor list
    • food truck list (should be done)
    • musical acts info
    • map of obstacle course
    • list of vendors who are already finalized

Coach Meeting

  • Now at the halfway point of the semester
  • Coach J recommends that we grab an export of the UI in FlutterFlow then start integrating with/plugging data into the database
    • want to get as much real data into the interface as we can to make sure it works properly so far
    • can also use what is already in FlutterFlow for others to use and work/start on the code needed to hook up the back-end to the front-end
  • potentially need to get an alternate path/route ready for Firebase in case our Flutter integration does not work as planned

02/29/24 Meeting:

Updates for Nikki

  • Logan showed Nikki the UI we currently have
    • Nikki thinks the UI looks really good already; says it looks user friendly
  • Ticket Tailor--can it be compatible with the app?
    • Not necessary, can be done manually but could be something additional to help during event
  • Nikki says that the most reviews we can add will be good--does not need to only be for food trucks
  • There are no capacity limits in any area of the event
  • Need to talk to Nikki about taking out social aspect and replace with ticketing since she said users will need help with QR codes

04/04/2024 Meeting:

Updates for Nikki

  • Jeremy gave Nikki an update of where we are and when our app should be done
  • Asked Nikki for basic descriptions of each event, and what each food truck wants included on the application
