First Use

  1. On the CalendarAnything tab, find and click on add an existing calendar
  1. Scroll down to find My Site Visits and move it over by selecting it and clicking on the right pointing arrow.
  1. Now click on My Site Visits to activate that calendar.

General use

  1. Ensure your My Site Visits calendar is selected (square filled in).
  2. Under the Quick settings (Conductor icon) set Cell Height Expension to Auto.
  3. Site visits can be moved by click and drag.

[!WARNING] Do not extend the site visit over two days by dragging only one side of it, drag from the middle.

Planning

  1. The AutoScheduler schedules all required services for the month on the last Monday of the month prior.
  2. Services are scheduled on the Wednesday for the week they are marked as in the settings. From there they can be moved around as required.
  3. Weekly services will get 5 visits scheduled, sort them as needed and delete the extra visit if only 4 required that month.
  4. Any jobs moved to the next month will be pushed back to the end of the current month when the next AutoScheduler runs.

Creating new Site Visits

  1. To create a new site visit, click on the day, select your calendar and give the Site Visit a meaningful name. Fill in the Site and yourself as Owner.

Place holders

  1. Site visits without jobs can be created to use as reminders or to denote time spent on a site. If no job is present, this won't appear on your outstanding job list, even if it remains blue.
  2. To create a new site visit, click on the day, select your calendar and give the Site Visit a meaningful name. Fill in the Site if required and yourself as Owner.

Colour coding

  • Blue site visits are planned, i.e. not yet completed.
  • Yellow visits are completed and reports waiting to be sent in two days.
  • Green visits are finalised.

[!NOTE] If you have completed all reports, but a site visit still shows as blue, contact Chris Swart
