The metadata schema used by the exhibits program is VRA Core 4.0.

Recommended controlled vocabularies for use within your XML records are also listed under the Resources tab of the wiki. Descriptions of all elements are taken directly from VRA Element Description.

Minimal Elements Required for Exhibits Program:

Agent The name(s) or other identifier(s) assigned to an individual(s), group(s), or corporate body/ies that has contributed to the design, creation, production, manufacture, or alteration of the work or image ULAN, LCNAF, VIAF
Title Title or identifying phrase given to a Work or an Image. For complex works or series the title may refer to a discrete component or unit within the larger entity or may identify only the larger entity itself. If no title is provided or clear, provide a reasonable one in brackets.
Date Date or range of dates associated with the creation, design, production, presentation, performance, construction, or alteration, etc. of the work or image.Please use the ISO-8601 instructions on formatting dates.
Location The geographic location and/or name of the repository, building, site, or other entity whose boundaries include the Work or Image. TGN, LCSH
Work Type Term used to identify the type of media the image or work is displaying. AAT, RBGENR
Description A free-text note about the Work, Collection, or Image, including comments, description, or interpretation, that gives additional information not recorded in other categories. Must be 300-500 characters in length.
Rights Information about the copyright status and the rights holder for a work, collection, or image. This can also include any restraints on use, contact or licensing information or other intellectual property statements as may be desired. If no information can be found, record: “copyright status unknown.”

Cultural Context The name of the culture, people (ethnonym), or adjectival form of a country name from which an item originates, or the cultural context with which the item has been associated. AAT, ULAN
Inscription All marks or written words added to the object at the time of production or in its subsequent history (i.e. signatures, dates, autographs, stamps).
Materials The substance of which a work or an image is composed (i.e. chalk, jute (fiber), corrugated cardboard). AAT
Measurement The physical size, shape, scale, dimensions, or format of the Work or Image. Dimensions may include volume, weight, area or running time. For exhibits, we will list in order (as/if applicable): dimensions and extent.
Relation Terms or phrases describing the identity of the related work and the relationship between the work being cataloged and the related work or image. Use this element to relate work records to other work or collection records, or image records to work or collection records.
Source Free text. Displays the citation (i.e. location) of the original object (work record) and image (image record) to the patron. Also include catalog number/collection information (i.e. box number, folder number) when possible.
Style Period A defined style, historical period, group, school, dynasty, movement, etc. whose characteristics are represented in the item (i.e. Baroque, Italian, Art-Deco). AAT
Subjects Terms or phrases that describe, identify, or interpret the item and what it depicts or expresses. Subjects can be people, places, or corporate bodies that the work is about or includes. They can also be topical. LCSH, LCTGM, TGN
State edition The identifying number and/or name assigned to the state or edition of a work that exists in more than one form and the placement of that work in the context of prior or later issuances of multiples of the same work.
Technique The production or manufacturing processes, techniques, and methods incorporated in the fabrication or alteration of the work or image. AAT (processes)
Textref Contains the name of a related textual reference and any type of unique identifier that text assigns to a Work or Collection that is independent of any repository.
