Time-Planning

The foundation for a successful project is laid by creating a project management plan, which consists of establishing the scope and defining the objectives. The main aspect is to evince the necessary steps to achieve the end product according the client’s needs.

Following, the project management plan, which guided our group throughout the entire project life cycle:

Cooperation

The cooperation during the entire project was split into internal (team) and external (teacher) channels. Nevertheless, all the following project cooperation guidelines were considered for both parties.

The main cooperation intersection was already defined within the project plan:

  1. Setting project objectives (Project Management Plan)
  2. Planning a project (Project Management Plan)
  3. Establishing Team Roles (Project Management Plan)

Additionally, to ensure healthy progress on the project the following aspects were discussed and agreed on:

  1. Specifying the rules of communication and agree on tools
  2. Project evaluation
  3. Respect

Communication

The importance of communication during a project phase is crucial. As a matter of fact, the initial steps to ensure open communication were defined within the project cooperation plan.

The foundation of the project cooperation plan was built on pillars like goals, responsibility, performance, expectations and feedback management. Nevertheless, we chose to communicate frequently additionally to the structure we built, as the following figure shows:

Meetings

The meeting content was defined beforehand and the target for the next meeting was always defined by the end of a meeting. One could say we worked in an extended form of Scrum with longer intervals which got shorter towards the end of the project. The communication has taken place in Microsoft Teams, which provided many additional functionalities beside the meeting function like the Project Planner, Wiki and a centralized document filing system.

Information and Research

The information gathering was split into different phases, which accompanied us throughout the entire project. Once the project scope was defined, the following research steps were initiated:

  • Defining the insufficient knowledge areas
  • Preliminary search for information/Literature
  • Selecting suitable applications
  • Research about the applications features/functions
  • In-depth research based on tasks and problems at hand
  • Deployment process research

The platforms which we took advantage of and offered us the most content were among others the Moodle platform, the direct communication with the teachers, various literature about internet technologies and important to mention the internet itself with various videos, forums and help-sites like stack overflow or w3schools.
