General Guidelines:

  • Implement enterprise logins (SSO)
  • Provision licensing for everyone in the organization (rather than for a group/role)
  • Enable Esri Access for everyone
  • Set any credit limits high enough that you do not have to worry about managing the limit for individual users
  • Ensure you have enough named users and licenses to satisfy demand
  • Implement LMS integration
  • Consider using a single ArcGIS Online organization for your institution, multiple ones mean more management
  • Avoid manual steps or workflows involving gate-keepers

Do Not Ask yourself:

  • Is this person eligible for an ArcGIS account?
  • Do they need an ArcGIS Pro license?
  • Should I disable student accounts when they graduate?
  • To what role should I assign this person?
  • To what group should I assign this person to?

Instead, Ask:

  • Who handles authentication and authorization on campus?
  • Who runs your student information system? ...learning management system? ... financial systems? ...human resource system?
  • Collaborate with them!
