Understanding Real-Time Collaboration in Notion

In Notion, real-time collaboration means that changes made by any team member are visible to others immediately. When someone adds text, edits a page, or leaves a comment, other collaborators see the update without needing to refresh the page. This ensures that everyone is always working with the most current version of a page or workspace.

This guide explains how to use comments, mentions, and reactions in Notion to collaborate with others in real time. You’ll learn how to leave feedback, tag teammates, and keep discussions tied directly to the content you’re working on.

Using Comments

Comments allow collaborators to give feedback, ask questions, or provide context without directly editing content. Comments are attached to a specific block, page, or database entry, keeping discussions organized and relevant.

Adding Comments to Pages

  1. Hover over the page you want to comment on.

  2. Click on the 'add comment option'.

  3. Type your message and press send/enter.

  1. Click the ⋮⋮ icon that appears to the left of it and choose Comment from the menu that pops up.

  2. Type your message in the comment field and press send/enter.

Adding Inline Comments

  1. Highlight the text you want to comment on.

  2. Choose comment from the pop-up menu.

  3. Type and send your comment in the field.

Replying to and Resolving Comments

To reply, click on the comment and type your response in the reply field.

To mark a comment/discussion as resolved, hover over it and tick the ✔️ icon that appears. Resolved comments are archived but can be viewed in version history.

Using Mentions

Mentions in Notion allow you to notify collaborators and link to pages, people, or dates directly from a block or comment. They help keep your team informed and discussions contextual.

Mentioning People

  1. In a block or comment, type @ followed by the collaborator’s name.

  2. Select the person from the dropdown list.

The person will receive a notification and a link to the content where they were mentioned.

Mentioning Pages

  1. Type @ followed by the page name.

  2. Select the page from the dropdown list.

A link to the page will be inserted in your block or comment, making navigation easy for collaborators.

Mentioning Dates

  1. Type @ and select a date from the calendar dropdown.

This creates a date reference that can trigger reminders or scheduling within Notion.

  1. Select the text on the page that you want to react to.

  2. Click on 🙂 in the menu that appears.

  3. Pick an emoji of your choice.

  1. Hover over a comment, or click it (mobile).

  2. Click on 🙂 in the pop-up.

  3. Pick an emoji of your choice to use as a reaction.

FAQs

  • Why can’t I see a comment or mention someone made?

    They may not have access to the page or database. Refresh your page, and double-check that the comment was added to the correct block.

  • Why can’t a collaborator edit a page or view I shared?

    Permissions may be set to view-only, or individual access overrides workspace defaults. Check the page’s Share settings and adjust permissions for each collaborator.

  • Why aren’t changes showing up in real time?

    Notion updates live, but sync delays can occur due to connectivity issues. Try refreshing the page, and make sure you’re online.

  • How do I avoid accidentally missing updates?

    Use mentions for relevant collaborators, regularly check the comments section, and turn on notifications for comments and mentions.
