Running the Space - DoESLiverpool/somebody-should GitHub Wiki

There are lots of things required to keep DoES Liverpool operating, this page aims to capture as much of that as possible. This will be restricted more to functional requirements of operating the business.

Day to Day

We state in various places that our business hours are 9:30am - 5:30pm on weekdays. As such we need to have someone in the space during those times.

During these times you may be asked to do the following:

  • Answer the phone - both to let people in, via the intercom, and to answer queries about the space.
  • Give access to the space, once you have let people in through the intercom you should go to the front door of the space to let them in. Sometimes people get into the building without using the intercom and will use the doorbell to gain access to our space.
  • Help people to retrieve post
    • People who have a mailbox with us won't necessarily be regular visitors to the space or may be visiting for the first time, show them where the mailboxes are and where the list of who's mailbox is whose is.
  • Take payments
    • If you take cash, be sure to put it in a safe place and email [email protected] to make sure Seán is aware.
    • If you have access to the Organiser's wiki then you can find the PIN code for the phone that we use for card payments.
    • If you're not sure then it's fine to decline payment and have the person contact us by email for an invoice, we can take payment via bank transfer, PayPal or online card payments so it's usually fine.
  • Show people around the space
    • This can be the most time consuming aspect of the "job". If you are busy it's understandable that you might need to keep this short but remember that people may have travelled to see us and we don't want them to go away with a bad impression of the space.
      • If they just want to use a desk then it's reasonable to direct them to a free desk and tell them the Wi-Fi password, then follow up with them later.
      • If you do have time then taking them on a full tour of the space is ideal, show them the various areas, give them an idea of how some of the equipment works. Mention the events room and some of our events. Talk about Maker Night and Maker Day. Be sure to identify where the fire exits and toilets are. Talk about the kitchen and how tea & coffee are free, soft drinks and crisps are not.
  • Be supportive if there are problems with equipment
    • While not everyone will know how to fix problems with the laser cutter, there are ways that you can support people having issues.
      • Direct them to the wiki
      • If there are others in the space who might be able to help and have the time then direct them that way
      • Have them email us or offer to send an email yourself to make sure the problem is followed up.
    • If someone has not been able to achieve their aims due to problems with our equipment then we won't require payment for their session.
  • Close up the space at the end of the day
    • At 5:30pm, except on Maker Days, then we would generally expect anyone who does not have "Out of Hours" access to leave the space. If you're not leaving yourself then you don't need to chase everyone out, but you do need to make sure that when you do leave that only people who have access remain. Remember to check in all of the rooms including toilets, workshop rooms, meeting rooms.
    • If you are the last person in the space then you should carry out the full Locking up procedure
  • Check the toilet rolls!
    • There is generally a large number of toilet rolls within the toilet rooms, and spares on the broom cupboard opposite the door to the more accessible toilet.
  • Empty the bins
    • We shouldn't allow the bins to get over full as this only makes it harder to empty them
