CommunityMeetingMinutes20250202 - DoESLiverpool/somebody-should GitHub Wiki

review of previous meeting's actions

  • snoof: everyone that wants to be on the github fiber arts team is on it!
  • jackie: has spoken to Paul from NWCM. the museum is open 10-4 for a trip. please respond on google group if you want to visit! (closed, will be reviewd on google group)
  • mike: has not yet added caroline's resin printer to spreadsheet. needs to take a photo of it.
  • mike has added a status column to Alex's spreadsheet of stuff looking for a new home
  • adrian: review of how many full time members we need to break even. has been working on a poster for the cost of being epic. has worked out that we are roughly 600GBP short each month over the past 6 months. we are 3 full desks short of breaking even.
  • jackie: to confirm price of sublimation inks to cover costs. not yet done
  • neil: has set up the new Facebook page (facebook.com/doesliverpoolcic). uncertainty about DoES Liverpool's presence on Apple and Google Maps. Facebook/Insta seems to refuse to recognise DoES as a location.
  • not yet looked at targeted ads on Facebook (jackie and simon)
  • jackie to ask users to adopt an email banner which advertises DoES space (not yet done)
  • adrian/liz/terry: on workshop guidance. page has been updated to reflect that you can pay per person for events at the space.

team updates

  • laser maintenance: there was an issue with gerald where the sensor was not working. it is now working but still needs replacement parts and debugging to fix it properly.
  • mike: issue with coupler in tony that needs replacing, need to identify the correct part. it's a mechanical coupler that is broken. may explain why tony is often out of alignment. replacement part will cost ~30GBP. mike has found uk supplier that has the part in stock.
  • fiber arts: we're still brilliant. we're doing alright yeah thanks. working on various avenues of making things better and will report as and when they occur.

triaging somebody-should issues

  • adrian, chris thought it would make sense to move some of the issues on a bit by triaging them in the community meetings, though we don't want it to take over meetings completely. adrian has looked at some of the 'musts' and has selected 3 issues to look at today:

issue 900

  • issue is that a team isn't getting notifications 100% of the time unless the team is mentioned. may be worth putting labels on or near machines saying to mention the appropriate maintenance team if raising an issue. we need to find a way of notifying people that it's necessary to ping teams on github to make them aware of issues.

issue has been closed meanwhile.

issue 950

work out and set up an induction process for the CNC router. there is a process written in 'somewhere-safe', just bullet points of induction.

issue 1283

the tapestry building are reposting things that DoES have posted, so we're closing this issue as covered.

specific agenda items for this meeting/any other business

mice

there are mice.

  • may need to review the number of open bins we have about the space and determine whether the mice are actually getting into the bins
  • the tapestry are getting some people/contractors to come and look at the issue.
  • discussion about making a rule to not put food waste in any bins except for the kitchen one.
  • discussion about how best to communicate this. we would need to label bins/put signs on bins.
  • general agreement that we should probably remove the bin from room 29.

marketing

  • neil has been leading on does marketing so far, assin has offered assistance with this.

financing the space

  • jackie talked about options for subletting the events room, just in case we can't manage things in future. there has been some interest:
    • from mandy's sewing school (school of create). they would need to store quite a lot of stuff in the space and would also need some evening use.
    • jenny has forwarded some details about a charity that does prom dresses --- again they need storage space
    • jenny also has contacts with an agency that teaches english and maths (just a day-time thing, may be better).

mandy has been to visit and will send us an email with more details. jenny has been in touch with people running maths/english lessons but they haven't got back to us yet.

  • suggestion that if we can't afford to pay for the entire space, worst case we can "lop off" the events room and find someone who would use the space full-time, for months at a time. perfect scenario of this kind would be to rent out in the weekdays during the day, with DoES having use of the space in the evenings and at weekends.

  • some discussion about clients that would be appropriate to sublet space to. suggestion it would be sensible to look at ways of making the space more attractive to e.g. corporate clients. need to bear in mind that workshops will leave the space messier than might be desired for e.g. training purposes.

  • may be a good idea to build some storage in the event room.

  • events room projector: simon happy for people to use it but doesn't want to give us the remote control in case we lose it.

  • john put in a request for emergency business rates relief, did anything come back? john has not reported anything so presumed that we haven't heard back from the council yet.

  • chris has been looking at an energy grant, 500GBP that we might be eligible for.

  • soldering event was a great success, the community did a great job. chris wants to encourage others to run events in the space! neil: may want to encourage more people in the wider community to do this, and also document the events to raise profile. would be good to email people to thank them for coming to events/get people to sign up for mailchimp mailing list. there is a huge demand that we didn't think existed for things like the soldering workshop. workshops may be less intimidating than maker night/day; helping people to feel welcome ad safe using DoES.

  • may be worth having an explicit fundraiser, show and tell event or open day. a nice way of introducing people to the space. we already do maker day: could we advertise a particular maker day as something special, e.g. a day for laser inductions? would be about getting a bit more organised and specific.

when is the next meeting?

2nd march 1pm-3pm

aside: we could make it more explicit that people don't have to attend both hack the space and the community meeting on the same day.

summary of actions

  • jackie to put a post on instagram for maker day
  • jackie to raise an issue to get another remote control for the projector
  • adrian and jake to review AV setup and storage. perhaps also work on documentation for how to wire things up efficiently and neatly, show where to put things.
  • jackie to update signs for bins
  • mike to work with chris and others to progress documentation for laser induction process
  • mike to add an entry wiki to advise people how to use github, and link to the relevant resources
