Workflow Submissions

Once files have been ingested, they can be submitted to a workflow. If you have selected an intermediary workflow, Intermediary Files will be submitted.

To use the Workflow Submissions feature, first select the desired workflow. Then search for the item(s) you wish to submit to a workflow. The search results appear as items, with individual files contained in the item visible when expanding the line to drill down on each item. For convenience, each Item has an "add all files" button that adds every Content File associated with that Item to the "Selected Files" box. Once files have been selected, they can either be submitted directly to a workflow or saved as a bundle.

Intermediary files and Partial workflows

If you are submitting files to an intermediary workflow (or partial workflow) once you search for a content file and select "add all files", a list of intermediary files of the correct type belonging to that content file will be displayed. For example, if the first node in the workflow specifies a 'transcript' format only intermediary files of type 'transcript' will be shown. Select the output you would like to use as an intermediary file and use the "Add to selection" button at the bottom to add it to the workflow. If there are multiple input nodes in the workflow, you will need to select multiple intermediary files related to the content file before running the workflow. Simply look below the first "Add to selection" button to find a section of available intermediary files for the next input node.

When using an intermediary file, only intermediary files from a single content file can be submitted to the workflow at a time. A user cannot run an intermediary workflow on multiple content files at the same time.

Selecting from saved bundles

Saving a grouping of files as a bundle enables the user to recall that grouping later via the "Select from saved bundles" button. All the files in a selected bundle will be added to the list of selected files and the user can then selectively remove individual files from the "Selected Files" list without affecting the bundle.

Note that if a bundle is created with files from multiple units, it will only show up in the list of saved bundles if the user has permission to submit files to workflows in all units in the bundle. 

Running the Workflow

To select a workflow, click on the "Select Workflow" dropdown menu, which will provide a list of workflows available to you based on your privileges. Once the workflow has been selected, the "submit to workflow" button will become enabled, allowing you to submit the files. Once one or more files have been submitted, AMP will display a message telling you how many jobs were successfully submitted to the workflow, and how many failed. Additionally, if one or more files fail, the message will display detailed information about the error, including the collection name, item name, file ID, filename, and file label.
