The Owners Portal is a dedicated Guesty-powered website for property owners, separate from the Guesty dashboard. It allows owners to view property data, monitor earnings, make reservations for personal stays, and more. As a property manager, you control what information and features owners can access on their portals. Use default portal settings to configure what all owners will see in their portal. You can customize portal settings for individual owners at any time.

Your website URL will look like this: thenameyouchoose.guestyowners.com. You can connect your own domain to the Owners Portal to use your own website address.

Below we'll cover everything you need to know about how to set up the Owners Portal.

Choose a URL for your Owners Portal website

Setting a unique and recognizable URL for your Owners Portal helps create a professional experience for your property owners. While all owners share the same default domain URL, each owner has a unique portal.

Note:

The default URL selected in Guesty will be the domain used for all owners.

Follow the instructions below to choose a URL for your Owners Portal website.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Owners.
  4. In the top right, click Portal Settings.
  5. Under "Default URL by Guesty", type in the name of your website URL. If the URL is unavailable, an error will appear and you will need to choose a different URL.
  6. Click Save.
  7. To apply the URL to current and future owners, click Apply to all.  To apply the URL only to new owners click Apply to new only.

Set up default portal settings

Default portal settings simplify the onboarding process by allowing you to apply settings across all owners portals or just for new owners. Default portal settings define what owners will see in their Owners Portal. You can preview how these settings appear in the mobile view example.

Once you've defined your preferred default portal settings, click Save. In the popup click Apply to all to apply the the default portal settings to current and future owners. Alternatively, click Apply to new only to apply default portal settings to new owners only. You can customize these settings for individual owners at any time.

Customize individual portal settings

You can customize the default portal settings for individual owners. 

Follow the instructions to adjust settings for each owner as needed.

Step by step:

  1. Sign in to your Guesty account.
  2. In the top navigation bar, click the mode selector and select Operations mode.
  3. Click Owners.
  4. Select the relevant owner.
  5. In the left sidebar, click Portal settings.
  6. Switch the Enable Portal access toggle on to enable portal settings customization.
  7. Define your preferred default portal settings.
  8. Click Save.
    Alternatively, click Reset to return to the previous the portal settings.

To preview the Owners Portal, click Preview portal in the left sidebar.

Performance metrics

Check the boxes for the performance metrics you want to give your owner access to. 

Booked nights

Allows your property owner to view the number of nights each property is currently blocked by confirmed reservations within the selected time period.

Occupancy

Allows your property owner to view how occupied their property is. The "Occupancy percentage" metric is calculated by dividing the number of booked nights by the number of bookable nights (both booked and available for booking).

Note:

The occupancy rate won't include reservations made before the Guesty listings were activated, so imported or uploaded reservations won't be counted.

Average nightly rate

Allows your property owner to view the average cost of staying at the property, calculated by dividing confirmed revenue (revenue coming from confirmed reservations only) by confirmed reservations.

Accommodation fare

Allows property owners to view the original price of the reservation on the reservation tooltip and reservation report.

Includes the monthly sum, which is based on your revenue recognition set up and consists of the total accommodation fare of confirmed and canceled reservations for the month.

If a canceled reservation should be excluded from the accommodation fare, adjust line item in the reservation's guest folio.

Net accommodation fare

Important:

Available for non-Accounting users only.

Allows property owners to view the total accommodation fare after adjustments on the reservation tooltip and the reservation report. Excludes the monthly sum.

Accommodation fare and net accommodation fare are displayed together if both options are enabled.

Net accommodation fare will not be displayed if the original price has no adjustments.

Net rental income

Important:

Available for Accounting users only.

Allows your property owner to view rental income by hovering over a specific reservation to view the Reservation tooltip in the "My Properties" section.

Owner revenue

Allows your property owner to view their earnings. Depending on the calculation model (Business model definition/Revenue share formula), calculations may include the accommodation fare, channel commissions, and discounts. Learn more about how the owner's revenue is displayed in the Owners Portal.

  • Accounting users: The owners' share will be calculated according to the business model defined in the Accounting settings. Accommodation fare will be available alongside Net Rental Income.
  • Non-Accounting users: The revenue will be calculated using your revenue share formula. The owner's revenue will be displayed in the Owners Portal based on your selection on the "Recognized Revenue" page—either by check-in date, check-out date, or calendar dates. The accommodation fare will also be available.

Note:

For canceled reservations:
Depending on the listing’s cancellation policy, revenue from a canceled reservation may be accounted for and displayed in the owner’s revenue.

Revenue per listings (RevPAL)

Allows your property owner to view how well the property is performing each month. This metric is measured by multiplying the Average Nightly Rate by Occupancy.

Calendar and reservation settings

Once you activate the Owners Portal, check the relevant boxes to display the data in the "My properties" page calendar and the "Reservation report" page on the Owners Portal.

Note:

If the "Reservation tooltip" is not checked, the tooltip won't display any information for the reservation, even if other performance metrics or calendar and reservation settings are selected.

Booking sources (OTA links)

Booking sources (Online Travel Agency links) will only be available on the Owners Portal if listed and integrated with those channels in Guesty.

To sync Booking sources (OTA links) to the Owners Portal, add the link to the channel listing page before you check the Booking sources (OTA links) box.

Once enabled, Booking sources displays where a reservation came from and the OTA listing links in the Owners Portal.

Display guest email / Display guest phone

Check the relevant boxes to display the guest email and/or phone number on the reservation report.

Owner actions

Allow creation of owner reservations

Enable this feature to allow owners to create personal stays. When activated, you may enable the owner to choose their arrival and departure times by activating Allow owner to change check-in/out times.

Display notes for reservations made by co-owners

Check this box in addition to the "Reservation tooltip" in Calendar and reservation settings to enable co-owners the ability to view notes made on previously existing owner stays.

Owners reservation report

Enable this feature to allow owners to view guest reservations for their properties. They will also be able to download reservation reports as a CSV file. The CSV report is limited to 200 reservations per download.

You can assign a customized reservation report for owners to all owners via the default portal settings, or to an individual owner via the owners portal settings. 

Owners help center

Enable this feature to give owners access to the Owners Portal Help Center. The articles that will be visible in the Help Center are based on the features and options that are enabled for each owner.

[Pilot] Owners dashboard

Enable and customize the following features in the Portal settings to give owners access to data on the Owners dashboard. These can be applied to all owners via the default portal settings or to a specific owner via individual portal settings.

Announcements

To make an owner-wide announcement, create a portal announcement via the default portal settings.

To make an announcement to a specific owner, create the announcement via the individual portal settings.

  • To add a new announcement:
    1. Click + Add announcement.
    2. Enter the title and description.
      There is a limit of 30 characters for announcement titles and 100 characters for descriptions.
    3. Add message formatting or click the link icon to add a link.
    4. Click Publish.
    5. Confirm the action in the pop-up.
  • To edit an announcement:

    Click the Pencil icon. Edit the message as required and click Publish. Confirm the action in the pop-up.

  • To delete an announcement:

    Click Trash iconand confirm the action in the pop-up.

Performance

  • To include the owners revenue, check the Owner revenue box under "Performance settings", 
  • To include occupancy, check the Occupancy box under "Performance settings".

Booking sources

  • To include the booking sources, check the Booking sources (OTA links) box under "Calendar & reservations settings".

Guest reservations

  • To include guest reservation data, check the following options under "Performance settings":
    • Booking inquiries count to include the number of guest inquiries.
    • Booked nights to include the number of nights the property is booked for the specified dates.
    • Average booking value to include the average revenue earned per reservation.
    • Average nightly rate to include the average amount earned per night per reservation.

Owner reservations

  • To include owners reservation data, check the following options under "Owner reservations":
    • Display owner booked nights to include the number of nights reserved by the owner.
    • Display revenue loss to include the estimated revenue loss due to owner reservations.

Guest reviews

  • To include owners reservation data, check the following options under "Extras":
    • Display overall guest rating to include the average guest rating.
    • Display guest reviews to include guest reviews.
    • Only show reviews with 4 stars or higher to include reviews that only have a 4-star review or higher. 

Help centre articles 

    • To include owners reservation data, check the Display help center box under "Extras".

Important:

For default portal settings, click Save and confirm the action in the pop-up to implement your configuration. 

For individual portal settings, click Apply changes to implement your configuration.
