Introduction

So you are planning on hosting a WET community codefest satellite event? Here are some details from our experience hosting the first event that might help you make your own event a great collaborative event. This is an excellent opportunity to highlight local expertise and build your community while leveraging existing resources on GitHub and GCPEDIA.

Communication

Get the word out!

Communicate your local event through Twitter

  • Use your city hashtag, for example: Ottawa = #YOW
  • Use the event hashtag so others can follow along : #WxTCodefest2013
  • @WebExpToolkit and others from the communications planning committee will watch the hashtag #WxTCodefest2013 on the day of the event, so you might see us retweet what you're up to at your event.
Write a summary about the event and send it to local bloggers, community newspapers, local web development firms and non-profit organizations

Post the invite on your workplace intranet and around the office

Share the evite via your own Facebook, Twitter and email to colleagues

Logistics

Bring together a community that includes experts who can share information about Accessibility, Usability, Interoperability, Web design, User Experience and Mobile Web content with those less familiar with these concept.

Before the Event:

  • Create an evite that allows participants to register to volunteer / attend (Refer to: Eventbrite for Ottawa's CodeFest)
  • Create a page on github so people can review your schedule (Refer to: MediaWiki Tutorial)
  • Hold pre-event training sessions focused on getting everyone prepared to design and develop on the day of the event.
On the day of:
  • Ensure everyone will have access to the internet (this is vital!)
  • Encourage people to bring their own laptops and come prepared (software installed to code)
  • Book a meeting space that can hold your community
  • Ideally, the building will also have separate rooms for breaking out and discussing WxT (this could get loud)
  • You may also want to call ahead to a local pub or coffeeshop to organize a post-event meet-up to carry on the discussions
Post-event
  • Follow-up with a thank you note to your speakers, participants and volunteers. Let them know how they can provide feedback to you about the event.

  • learn WET: organize a WET workshop in your community that introduces everyone to the Web Experience Toolkit
  • stream the key note speakers from the Codefest being held in Ottawa and discuss the aspects of incorporating Usability standards and mobile-friendly websites among other topics
  • code/design WET: organize a WET codefest where a WET component is redesigned for mobile
  • edit documentation
  • Find and report bugs or suggestions for improvement and submit them as issues on GitHub
